The exercises in this article are generally applicable to the Membership Secretary role. Further guidance can be found in section 4.3
a) Adding a new Individual Member
From the Membership list on the main screen select Add new member
Try to add this new member:
Surname: Potter Forename: Harry Known as: Hal Title: Mr
Address: 4 Privet Drive, Little Whinging, Demoton DE1 4AS Telephone Number 01982 314856
E-mail Address: harry@myway.org.uk
Amount Paid £12:00 paid in cash
Also acknowledge their gift aid option.
Select the Type of Membership: Individual
Bold text indicates a mandatory field.
Hint: Use upper and lower case letters, the same as if you were addressing an envelope. Also, always putting the District or Village in the first of the ‘Additional lines’ boxes will enable ‘sorting’ on District/Village in any Excel downloads of the Membership List.
A new individual member may share an address with another new individual member, with an existing member or with no-one. Check that the appropriate option is selected at the foot of the Member’s Details section.
Where the new member’s address is not shared you will need to complete the Address and Payment sections then click Add Member
b) Adding New Joint Members
Use the information below to set up a new joint membership.
Surname: Simpson Name: Bart Title: Mr
Surname: Simpson Name: Margery Title: Mrs
Address: 5 Springfield Road, Demoton DA1 3KM
Telephone Number 07976 231659
E-mail Address: bartandmarg@myway.org.uk Amount Paid £22.00 Cash
From the Membership list on the main screen select Add new member
Select the Type of Membership: Joint
Note the new partner selection and the additional Partner’s Details form.
Note: ‘the share address with’ field will automatically populate as the record is saved when adding both joint members.
If the partner of an existing individual member has applied as a ‘joint’ member at a later date, their shared address can be selected from the drop down list of members.
It is possible that there may be two members with the same name so click the adjacent box (…) and this will open the joint member’s record. (Note: Do this with the Ctrl key held down and the record will open in a separate tab). Check if the address is the same or needs amending and also you may need to re-allocate a ‘joint’ category to the existing member. Once the new record is saved the ‘share address with’ the new member will automatically be linked to this record.
Providing your role has been allocated access (normally only the Treasurer)– you could check the Ledger and see that the payments were automatically entered there.
End of exercise
